Import patients from a CSV or spreadsheet
Relatica reads a CSV file and recognises the usual columns by their headers, so you do not need to reshape the export from your old system. Rows without a name are skipped, and rows whose phone or email already exist are reported as duplicates rather than imported twice.

Export from your current system
Export patients as CSV. In Excel or Google Sheets, open the list and choose Save as or Download, then CSV. Keep the header row.

Open Patients and choose Import
In the app, open Patients and click Import CSV. The same button is on the setup checklist under "Import or add patients".

Choose the file and check the mapping
Pick the file. Relatica shows which columns it recognised: first name, last name or full name, phone, email, date of birth, gender, notes and GHS number. If the name column was not found, rename the header to "First name", "Last name" or "Patient" and try again.

Review the counts
Before anything is written you see how many rows will be imported, how many are duplicates by phone or email, and how many have no name and will be skipped.

Import
Click Import. Patients appear in the list immediately and are registered to the current location.
Good to know
- Dates of birth are recognised in the common formats; if a column is misread, format it as YYYY-MM-DD in the spreadsheet.
- Clinical history, documents and appointments are not part of the import. Upload key documents to each patient as they come in.
- In Limassol we can do the import with you on site; from elsewhere, send us a sample of the file and we will check the mapping.
