Aesthetic clinic software where every procedure has a record, a price and a next appointment
Injectables, laser, peels and skin consultations are sold as procedures and repeated as courses. Patients expect to book from their phone, see a clear price and be reminded. Relatica gives an aesthetic clinic a public booking page, a priced procedure catalogue and a patient record that keeps photos, consents and allergies together with the visit history.
What gets in the way at an aesthetic clinic
Aesthetic medicine is closer to retail than most healthcare: bookings come from Instagram, prices matter and patients compare. Generic salon apps handle the booking but not the medical record; medical systems handle the record but look like 2005.
Bookings arrive in five places
Direct messages, phone, WhatsApp, a booking widget and walk-ins. Somebody copies them into a calendar and the copy is where the mistakes happen.
Consents and photos in the phone gallery
Before-and-after photos and signed consent forms live on a practitioner's phone or in a shared folder with no link to the patient. When a complaint comes months later, the search begins.
Course packages are tracked by memory
A package of six laser sessions was paid up front. Which sessions were delivered, by whom and on which dates is written on a card, if at all.
Allergies are asked, not recorded
The intake form is filled once and filed. The practitioner injecting six months later relies on asking again. A record that shows allergies and medications on the same screen as the visit removes that risk.
A working day in Relatica
How a clinic with a dermatologist, two aesthetic nurses and a laser room runs a Saturday.
- 1
Bookings come through the clinic's own page
The link in the clinic's Instagram bio goes to its Relatica booking page. Patients choose a procedure, a practitioner and a slot; the clinic sets which procedures are bookable online and requires confirmation for first visits.
- 2
The record is opened before the consultation
The nurse opens the patient: allergies, medications and chronic conditions are on the first screen, the previous visit notes and the photos from the last session are one tab away.
- 3
The consent is uploaded to the visit
The signed consent for the procedure is photographed or uploaded as a PDF and attached to the patient's documents with the date. The before photo goes in the same place.
- 4
The course is sold as a plan
Six sessions of laser hair removal are created as a treatment plan with the package price. Each session is booked into the laser room, and the plan shows sessions delivered and remaining.
- 5
The next appointment is booked before the patient leaves
Reception books the follow-up in four weeks with the same practitioner. The patient gets a confirmation and, later, an SMS reminder the day before and two hours before.
- 6
The day is reconciled
Payments are recorded per visit: card, cash or package. The visits report shows the day by practitioner and procedure and exports to CSV for the accountant.
What Relatica does for an aesthetic clinic
Online booking on your own link
A public page on your clinic's address that fits in an Instagram bio. Decide which procedures and practitioners are bookable, the lead time, the horizon and whether new bookings need your confirmation.
Photos and consents on the record
Upload before-and-after photos, signed consents and prescriptions to the patient. Everything is dated and sits next to allergies, medications and the visit notes.
Courses and packages as plans
A plan lists the sessions with quantity and price and links each to its appointment. Delivered and remaining sessions are visible at a glance, and so is what is still owed.
Reminders by SMS and email
Up to five reminders per visit, from 72 hours to one hour before. Practice includes 300 SMS a month, Clinic 1,000. Every message is logged on the patient.
Rooms and devices in the calendar
The laser room and the treatment rooms are scheduled alongside practitioners. A booking that clashes on the room is refused when it is made.
Visits and revenue by practitioner
Filter visits by practitioner, procedure, status and date; export CSV or print. Clinics use it to pay commissions and to see which procedures fill the diary.
Who this is for

- Dermatology practices that mix medical consultations with cosmetic procedures.
- Cosmetology studios that want a medical-grade record behind a salon-grade booking page.

Compare all plansQuestions aesthetic clinics ask
Can patients book from Instagram or our website?
Yes. Each clinic has a public booking page at its own address. Put the link in your bio or on your site. Patients choose the procedure, the practitioner and a slot; you choose whether bookings arrive as requests to confirm or as confirmed appointments.
Where do before-and-after photos go?
Upload them to the patient's documents from a phone or a computer. They are stored with the date on the patient record, alongside consents and visit notes, and are included in the patient's data export.
How do we track a prepaid package of sessions?
Create a treatment plan with the number of sessions and the package price, record the payment, then book sessions from the plan. Each delivered session moves to done, so the plan shows what remains.
Is the record suitable for a medical clinic, not just a salon?
Yes. The patient record holds allergies, medications, chronic conditions, blood type, visit notes with author and date, and uploaded documents. Access is controlled by role, and every access to a record is logged for GDPR.
Do you send marketing messages to patients?
No. Relatica sends transactional messages only: booking confirmations and appointment reminders. Marketing campaigns are not a feature.
Can several practitioners share one laser room?
Yes. Rooms are scheduled in the calendar with practitioners. The calendar can be grouped by room, and a booking that overlaps in the same room is refused.
