For general practice and specialists

Practice management for doctors who want the record, the visit and the claim to agree

A general practitioner, a cardiologist or a gynaecologist runs the same loop many times a day: a patient books, the doctor reads the history, writes the visit, and someone bills the patient, the GHS or an insurer. Relatica keeps that loop in one place, in the browser, in English, Greek or Russian.

What a medical practice struggles with today

Most practices in Cyprus and Greece still combine a paper file, a desktop program from the 2000s and a personal phone calendar. Each is fine alone; together they lose information.

History is not where the doctor is

The file is in the cabinet, the lab results are in email, the last prescription is in the doctor's memory. A record that puts allergies, medications and previous notes on one screen changes how a ten-minute visit goes.

GHS visits and private visits are billed differently

A GHS beneficiary pays a co-payment; the rest is claimed. A private patient pays in full; an insured one is claimed from the insurer. Tracking three flows in one cash book is where money goes missing.

The phone rings for every appointment

Reception spends the morning on booking calls. Patients who cannot call during working hours simply go elsewhere.

Every colleague sees everything

A single shared login means the receptionist can read clinical notes and the locum can change prices. GDPR asks for the opposite: access by role and a log of who looked at what.

A working day in Relatica

How a practice with two GPs, a cardiologist and one receptionist runs a Tuesday.

  1. 1

    The diary fills itself overnight

Patients book consultations on the practice's public booking page. The practice allows booking up to 30 days ahead with two hours' notice and confirms each request at the desk in the morning.

  2. 2

    Reception checks the patient in

The receptionist confirms the patient's phone and GHS beneficiary number and marks the visit as GHS, insurance or self-paid. The co-payment is recorded as the patient pays it.

  3. 3

The doctor reads the record, then writes the visit

Allergies, chronic conditions and medications are at the top of the record. The doctor writes the visit note against the appointment; it is saved with author and time and visible to the next doctor who sees this patient.

  4. 4

    Results and referrals are attached

The lab PDF and the referral letter are uploaded to the patient's documents. There is no separate archive to search later.

  5. 5

    Follow-ups and reminders

The three-month review is booked before the patient leaves. Reminders go by SMS and email at the intervals the practice chose and are logged on the patient.

  6. 6

Claims are created from the visits

At the end of the day the GHS visits have claims in draft with the right amounts. The insurer visits carry the insurer's name and reference. The Claims page tracks all of them to paid.

What Relatica does for a medical practice

A record built for a consultation

Allergies, chronic conditions, medications, blood type and free notes on the first screen. Visit notes per appointment with author and date. Documents uploaded to the patient.

GHS and insurer claims

Patients carry a GHS beneficiary ID; the practice sets its co-payment and its list of insurers. Each visit is marked self-paid, GHS or insurance and a claim follows it through submitted, approved, paid or rejected.

Online booking with confirmation

A public booking page for the services and doctors you choose. Bookings can arrive as requests that reception confirms, so the diary stays under control.

Access by role

Owner, admin, manager and staff roles decide who can see clinical data, change settings or delete anything. Every access to a patient record is written to an access log.

Reminders in the patient's language

SMS and email reminders up to five times per visit. Messages are sent in the clinic's configured language and logged on the patient's communication history.

GDPR tools built in

Export a patient's full record on request, erase a patient with a documented reason, and review who accessed which record. Data is stored in the EU.

Who this is for

  • General practitioners and family doctors, including GHS personal doctors.
  • Specialist practices: cardiology, gynaecology, ENT, endocrinology, neurology and others.
  • Polyclinics with several specialties sharing one reception and one patient base.
  • Doctors who see private, insured and GHS patients in the same diary.

What it costs a medical practice

Solo is free for one doctor at one location with up to 200 patients: calendar, patients and payments. Practice is €89 a month for up to five doctors and adds claims, reminders with 300 SMS, reports and documents. Clinic is €199 a month for up to fifteen doctors across three locations. Paid plans start with a 14-day trial and no card.

Questions medical practices ask

Does Relatica submit claims to the GHS portal?

Not yet. Relatica keeps the GHS beneficiary ID on the patient, applies the co-payment, creates the claim with the amount and tracks its status. Submission is done on the GHS portal; you record the reference and the outcome in Relatica so the money side stays complete.

Is the medical record a full EHR?

It is a practice record: allergies, chronic conditions, medications, blood type, visit notes and documents. It does not include e-prescribing, lab interfaces or coded diagnoses. Practices that need those use them alongside Relatica.

Can the receptionist see clinical notes?

That depends on the role you give them. Staff can work the calendar and patient contact details; clinical data, settings and deletions are limited to the roles you allow. Every record access is logged.

What happens when a patient asks for their data?

Open the patient and export the record: profile, visits, notes, documents, plans and claims. When a patient asks to be forgotten, erase them with a documented reason; the erasure is logged.

Can we import our patient list?

Yes. Upload a CSV or spreadsheet export from your current program. Relatica recognises name, phone, email and date-of-birth columns and shows the mapping before importing.

Does it work for a polyclinic with several specialties?

Yes. Doctors have specialisations, services belong to the clinic, and the calendar can be filtered by doctor. One patient base serves all specialties, and a Clinic plan covers up to fifteen doctors.
