Online booking

A booking page at your clinic's address, showing slots that are actually free

Relatica publishes a public booking page for each clinic on its own subdomain. Patients pick a service, a doctor and a time from the slots that are free in the real calendar, leave a name, phone and email, and get a confirmation. The clinic decides what is bookable, how far ahead and whether a booking needs confirmation first. Nothing is double-booked, and nothing is retyped.

How a booking happens

From the patient's phone to the clinic's calendar in five steps, without a phone call.

  1. 1

    The patient opens your page

The page lives at your clinic's address under /book. Link it from your website, your Google Business Profile and your social media. It is in English, Greek and Russian, and it shows the notice you wrote, for example about parking or first visits.

  2. 2

They choose a service and a doctor

Only the services and doctors you marked as bookable are shown, with the duration of each service. A patient can pick a specific doctor or any available one.

  3. 3

They pick a slot that is really free

Slots are computed from the doctor's working hours, breaks, time blocks and existing appointments, on the grid you chose, from ten to sixty minutes. A slot that fills while the patient is looking is refused on submit, not discovered later.

  4. 4

The booking lands in your calendar

A new patient is created from the name, phone and email; a returning patient is matched by phone number so no duplicate is made. The appointment arrives as a request to confirm, or as confirmed, depending on your setting.

  5. 5

    Both sides are told

The patient receives a confirmation email in their language with the clinic's phone number. The booking is written to the patient's communication log, and reminders follow automatically before the visit.

What the clinic controls

Everything below is set per location in Settings, and takes effect immediately on the public page.

On or off
Online booking is off until you turn it on. Turning it off hides the page without deleting anything.
Confirmation
Bookings arrive as requests that reception confirms, or as confirmed appointments right away.
Lead time and horizon
The earliest slot offered, in hours from now, and how many days ahead patients may book.
Slot grid
Slots every 10, 15, 20, 30 or 60 minutes, independent of service length.
Bookable services and doctors
Choose which services and which doctors appear, or leave both open to everything active.
Notice and phone
A short text shown on the page and the phone number patients may call, included in the confirmation email.

What online booking does not do yet

So that you know before you rely on it.

  • No online payment or deposit at booking time.
  • No patient login or self-service cancellation; patients call or reply, and reception cancels in the calendar.
  • No embeddable widget; you link to the page rather than embedding it in your site.
  • No waiting list for full days.

Included on every plan

The booking page, email confirmations and patient matching are part of Solo, which is free for one practitioner. SMS reminders for booked visits come with Practice and above.

Questions about online booking

Where does the booking page live?

On your clinic's own subdomain, at the path /book. Every location has its own page with its own services, doctors, hours and phone number.

Can patients book a specific doctor?

Yes, if that doctor is bookable. Patients can also choose any available doctor, in which case the free slots of all bookable doctors are offered.

How do you avoid double bookings?

Slots are computed from the live calendar, and the booking is checked again when the patient submits. A conflict on the doctor, the room or the patient is refused with a clear message.

What happens with a patient who already exists?

The phone number is matched against your patients, so a returning patient is attached to their existing record rather than duplicated. Their preferred language is used for the email.

Can I limit booking to first consultations?

Yes. Mark only the consultation services as bookable and keep follow-ups at reception.

Is the page in Greek and Russian?

Yes. The page follows the patient's browser language among English, Greek and Russian, and the confirmation email uses the same language.
