Reminders that go out by themselves, in the language each patient reads
Missed appointments are the most expensive thing in a clinic's day. Relatica sends reminders by SMS and email at the times you choose, up to five per visit, in the patient's preferred language, with the clinic's name and phone number. Every message is written to the patient's communication log with its status, so reception can see what was sent without asking.

You choose the moments
Pick up to five points before the visit from 72, 48, 24, 12, 4, 2 and 1 hours. A common setup is 24 hours and 2 hours.

The scheduler checks every 15 minutes
A background job looks at upcoming scheduled and confirmed appointments and picks those whose reminder moment has arrived, once each, so nothing is sent twice or skipped.

The message is built for the patient
The text uses the clinic's display name and phone, the doctor, the date and time in the clinic's format and time zone, in the patient's preferred language, falling back to the clinic's language.

SMS, email or both
Each channel is a switch. SMS goes to the patient's mobile, email to their address; a patient without one simply gets the other.

The result is logged
Sent, failed or skipped, with the reason, on the patient's communication log. Cancelled visits do not get reminders.

Practice includes 300 SMS a month and Clinic 1,000; Network 3,000. Email reminders are part of the same plans. Solo includes booking confirmations by email but not automatic reminders.

Which numbers can receive SMS?
Cypriot, Greek and international mobile numbers. Messages are sent through Twilio.
What if a patient has no email?
They receive SMS only. If they have no mobile either, the reminder is logged as skipped so reception can call.
Can a patient get reminders in Russian while the clinic works in Greek?
Yes. The preferred language on the patient record decides the message language; the clinic language is only the fallback.
Do reminders go to cancelled or no-show visits?
No. Only scheduled and confirmed appointments are reminded.
Can we see what was sent?
Yes. Every reminder is on the patient's communication log with channel, time and status, next to booking confirmations and calls logged by hand.
What happens when the SMS allowance runs out?
Email continues. Contact us to add SMS credits or move to a larger plan.
