Sell the course once, and every visit counts itself
Ten physiotherapy sessions, six laser sessions, a block of massages: the patient pays once and comes back many times. In Relatica a package belongs to one service. Reception sells it on the patient's billing tab, and each completed visit of that service takes one session from it. At the desk the visit costs nothing, the screen says "Session 2 of 6", and what is left is counted from the visits themselves, so nobody keeps a tally on a card.
How a package works
From the price list to the last session.
- 1
Put the package on the service
On the service card add a variant such as "6 sessions · €520, valid 180 days". A service can have several variants, and the validity is optional.
- 2
Sell it to the patient
On the billing tab pick a variant from the catalogue or make a one-off package with its own count and price. The patient pays in full, in part or later, and the payment is one line on the receipt.
- 3
Book the sessions
One at a time, or as a repeating series ("Mondays and Thursdays at 7:00"). A series booked for a patient with a package stops by default after the sessions that are left.
- 4
Complete the visit
Relatica finds the patient's package for that service by itself. The visit takes no payment and shows "Session 2 of 6". If the visit was completed by mistake and put back, the session returns to the package.
- 5
Everyone sees what is left
The patient header shows the sessions left, the patient sees them on the visit page opened from the SMS, and the "Due for the next session" list on the dashboard shows them next to the call button.
What the clinic controls
Packages follow your catalogue and your money rules.
- Variants per service
- Number of sessions, price and an optional validity in days, set on the service card.
- Expiry
- An expired package only warns when the visit is completed. The clinic decides whether to honour it.
- Packages from before Relatica
- For a package sold on paper or in your old program, enter how many sessions were already used, and the count continues from there.
- What is still owed
- A package is a charge like a visit. The patient balance, the payment dialog and the unpaid report show what is owed on it.
- Close or cancel
- Close a package early, or cancel one sold by mistake while no session has been used.
- Revenue counted once
- The package payment is the revenue. Visits drawn from it cost 0, so reports do not count the same money twice.
What packages do not do yet
So you can check it against how you sell.
- A package covers one service. A bundle of different procedures, for example face and neck on two devices, is not a package yet.
- No memberships or monthly subscriptions.
- Patients cannot buy a package on the booking page or pay for it online.
On every plan, including Solo
Packages are part of Solo, the free plan for one practitioner with up to 50 patients, and of every paid plan. Numbered receipts for package payments come with Practice (€49 a month) and above.
Compare all plansQuestions about session packages
The patient paid half. How do we take the rest?
The package stays on the patient's balance as owed. Take the rest at any visit from the payment dialog, and the unpaid report lists it until then.
A patient arrives with three sessions left from our old system. What do we do?
Sell the package in Relatica and enter the sessions already used. Completed visits count down from there.
What happens when the package expires?
Completing a visit shows a warning, and the visit still takes a session if you go ahead. Nothing is blocked.
Does the patient know how many sessions are left?
Yes. The visit page linked in every SMS shows the sessions left in the package, and reception sees them on the patient header.
Can one package be used for a different service?
A package belongs to its service. Completing a visit of another service with it gives a warning, so the mistake is visible.
Does the visit appear in revenue as well as the package?
No. The money is counted when the package is paid. The visit itself costs 0.
